The next application, Change of supervisor or appointment of joint supervisor (GSO.25), is scheduled to move online in February 2025 (subject to change). The Graduate forms webpage will be updated with links that will take the user to the On-Course Applications area of eVision. Impacted colleagues and students are being contacted directly.

Suspensions applications

The applications, Suspension of status (GSO.17), Suspension of status for maternity, extended paternity and adoption leave (GSO.17b) and Return from suspension of status (GSO.17a), moved online from Tuesday 5 November. Links on the Graduate forms for exceptional circumstances webpage now take the user to the On-Course Applications area of eVision.

Impacted colleagues and students have been contacted directly and a series of online briefing sessions were held. The sessions were aimed primarily at Graduate Studies Administrators and department administrators involved in the administration of suspensions for postgraduate students. DGS's and supervisors may also find the content useful. One session was recorded for those who were unable to attend. You can view the recording and slides. A set of FAQs relating to the launch of the suspensions online applications is available.

Milestones applications

The applications, Transfer of Status (GSO2) and Confirmation of Status (GSO14), moved online in May 2024. Links on the Graduate forms webpage now take students to the On-Course Applications area of Student Self-Service (eVision). 

The project team shared a set of FAQs relating to the launch of these online forms, and role-based guidance is available from the Student Systems webpage.

The Phase I project successfully replaced ten of the more straightforward paper-based Graduate Studies Office (GSO) forms with online forms, digitised approvals and workflows in eVision. Moving to online applications makes life easier for students, academics and administrative staff, provides a faster, simplified process, and reduces the risk of data breaches.

The Phase II project aims to move as many as possible of the remaining on-courses processes into eVision. Consolidating data collection and administration onto eVision means that applications are stored in one place, and can be accessed and approved from anywhere, via eVision or Student Self Service. Alongside Phase II, the Research Degrees Management System project is looking at a small tranche of more complex GSO forms, used to record and manage post-graduate researcher (PGR) outcomes. 

The project will deliver the following results:

  • Students will have a more consistent, intuitive digital experience and faster turnaround times
  • Administrative processes will be simplified and consolidated onto a single common solution, reducing off-system activity
  • Academics and administrators will be able to view and action applications within eVision
  • End-to-end processing time will be reduced
  • Personal data will be held securely within a supported system
  • Data visibility, quality and reporting capability will be improved

The project outcomes listed above will deliver the following benefits:

  • Improved student and staff satisfaction with the process
  • Time savings for academic and administrative staff
  • Reduced risk of data breaches
  • More effective monitoring of policy adherence 

This project is being managed as an Intervention under the University’s Digital Transformation programme. The project team meets weekly with a Review Group comprised of central, divisional and college stakeholders to ensure the eVision solution meets their requirements and to get sign off on any process changes or business decisions.
